Martins Quick Guide to running an Aiuchi Jiu Jitsu club

As of 1999/2000 I started helping to run our club more and more, with Kevin our instructor having a Baby and myself becoming an instructor. Information on what to do when running an Aiuchi club filtered down to me in dribs and drabs from different people at different times, with sometimes conflicting information. Oh, and I just plain keep forgetting some of it!

So I have put this page together as a quick help/reminder for others (mainly new instructors) who aren't entirely sure what's what. (Like me!). Thanks to Kevin for putting me right on a lot of things!

Club Affiliation to Aiuchi for the year - £150
Individual membership to Aiuchi for the year
  • Students - £10
  • Working - £15
Gradings
  • Up to Dark Blue - £8
  • Brown - £15
  • Dan (Black Belt) - Have to conform to BJJAGB pricing

Things you need to run a club

Qualified Aiuchi Jiu Jitsu Instructor
Somewhere to train
Preferably some safety mats to train on
Students to train
Weapons to train with
First Aid Certificate - At least St John/Red Cross (there's an official BJJA one as well!)

Important bits of paper you need

Dojo Registration Form (Fill out yearly)
Membership List (Add to it as members join)
Membership Forms (One for each member who joins)
Aiuchi Instructors Certificate (Proves your an instructor /  your covered under Instructors insurance arrangement)

Don't Forget

You must re-register the club every year
All students must re-join every year
The instructor has to join ever year as well
??? The instructor needs to update their official Instructors Certificate every year ??? (I know mine is dated for a one year period)

Session by session things you need

First Aid Kit
Accident Report Book (record any incidents/accidents/near misses that take place)
Blank Membership Forms incase anyone new comes along
Class Registers (then you can prove if people ever attended or not, and keep record of money/anyone who owes for outstanding classes)
You should have all the students membership information to hand at session times - what happens if you need to contact someone in an emergency for them?

Yearly things the club has to do

Affiliate to Aiuchi Jiu Jitsu

Yearly things instructors have to do

Make sure your Aiuchi Instructors certificate is up to date
Make sure all the club information is up to date and you've registered the club with Aiuchi
Don't forget you need to be a paid up member of Aiuchi as well!

Yearly things students have to do

Make sure your a fully paid up member of the club, if anything else for insurance purposes!

SO your running a club and someone new has come along? What do you do!

Things to check

Check important details like medical problems - it may not be safe for them to train with you.
Note any previous martial-arts experience they may have - you don't want people getting over excited on the mat and mashing people because that's what their used to in their Ultra-Extreme KillaKickboxingKlasses
Make sure they know any rules/regulations/safety aspects for your club
Make sure they know important people on the mat (e.g. instructors/safety people/first aiders)
Make sure they know other aspects such as YAME means STOP, and they always have to tell you when they leave the mat
Make sure they know they must take off all rings/bracelets/etc.etc. (or cover them up with tape)

If there just trying you out...

Before they step on a mat, make them fill in a Membership Form. At the moment you can leave out the bottom bit on a membership fee etc. as they haven't joined yet.
For insurance purposes, they have 4 sessions to decide if they want to join properly. After that period they MUST become a proper paid member - or don't let them train - they won't be insured!

If there going to join...

Make them fill in a Membership Form. Don't forget to fill in the bottom bit including membership fee paid etc. (Or finish off a membership form that's already partly filled in from trying you out)
Put their name on the membership list of all your students.

You've got their Money and you've got a form with their details on...

Make a photocopy of their form
Note them down on your membership list
Send the original copy of their membership form to Aiuchi and their membership fee to Aiuchi
Keep the photocopy of their membership form for club records.
??? You should also send the original membership list to Aiuchi (What if join after list being sent? Send up lots of 1 entry lists? Send a version of the latest list?) ???

* There may be extra forms necessary to fill in for all the students - e.g. if it is a university based club. This page only lists what is necessary on the Aiuchi side of things.


Gradings

For the grading...

The person doing the grading will need to know what grades people are grading for probably before they ever get to the grading
Make sure you have a list of everyone who is grading, and what grades they are going for
Make sure the students you are putting in for a grade are of a suitable level
Make sure you have relevant uki`s available for relevant gradings (no use in 20 white belts turning up for a V to attack someone going for their blue belt)
Make sure you have a nice supply of weapons ready to use
Find out if the person grading needs any costs meeting in getting from/to the grading, these might need to come out of club funds
Gather the grading money Before the grading - If the student fails the grading - the fee is held by Aiuchi and the students next grading(s) are free till they pass
Check with the grading location for problems/requirements/any extra time needs/etc.etc.
Check with the person grading how much time they will need to grade relevant numbers of students.

After the grading...

Gather together all the money
Send off to Aiuchi along with results of the grading
Pester Aiuchi constantly for a couple of years about certificates :)

 And that's your lot!
